Q: How do I book Whittlebury Reading Room?

A: Click Here to check availability of the hall – if the date you require is free, click on the +.

Unless you have already done so for previous bookings, you will need to register as a user so that we have your contact details. Once you have done this, click NEXT.

You can then fill out the booking request. As soon as this is confirmed you will receive an email and an invoice for the hire period.

Q: Can someone talk me through how to make an online booking?

Q: How late (or early) in the day can I book the hall?

A: You can access the hall from 8.30am. Events in the evening must finish by 23.00 hours (we would ask you to be considerate when leaving the hall late in the evening to avoid disturbance to residents).

Q: Is there a minimum hire period?

A: Rooms must be booked for a minimum of 2 hours.

Q: When do I need to pay the hire charge?

A: Payment is due on receipt of invoice or at the latest 7 days prior to the date of hire.

Q: How do I make payment for the booking

A: Payment should be made by BACs – details for payment will be included on your invoice. You can also pay by credit card (see details on the base of the invoice) If you have any queries, please contact: book@whittlebury.net

Q: When does a deposit apply, how much is this and when is this refunded

A: We reserve the right to apply a deposit for larger events / parties – this is £100, payable in advance and will be itemised on your invoice if applicable. This is fully refundable within 10 days following your event, as long as you have left the hall in the condition in which you found it (ie: tidy; rubbish removed; furniture replaced in the store room and key replaced in the key safe as specified in the terms of use). The refund is subject to a satisfactory inspection of the hall.

Deposits are not charged on regular repeat bookings.

Q: Are there any restrictions on who can book the hall?

A: You must be over 21 years of age to make a booking.

Q: How do I access the hall for my booked event?

A: You will be sent an access code for a key safe by email 1 day prior to your booking. This will give you access to the main hall, meeting room, kitchen and store cupboard for tables/chairs. The key should be replaced in the box after you have locked up after your event.

Q: Can you accommodate special requests?

A: Please include any special requirements requests on the booking form and we will respond to confirm if we can accommodate these.

Q: I need to cancel my booking – how do I do this?

A: Please email book@whittlebury.net to request a cancellation.

PLEASE NOTE; any cancellations made within 5 days prior to the event will be charged at 50% of the agreed rate.
